Process: Establishing a Faculty Cooperation for a Student Exchange (SEA)

Terms

Faculty Cooperation (Student Exchange Agreement – SEA)
A faculty cooperation at KIT refers to the exchange of students between a specific KIT faculty and a partner university abroad. The cooperation is coordinated by the respective faculty or one of its institutes at KIT. Academic supervision of the students is provided within the faculties.
The application process for incoming students is coordinated by the International Students Office at KIT in collaboration with the KIT faculties. Important information regarding eligibility criteria, application procedures, and the language requirements of the individual KIT faculties for international exchange students can be found in the Factsheet.
A Student Exchange Agreement (SEA) sets the contractual rules for the exchange of students between two (or more) universities for one or two semesters. The Student Exchange Agreement for faculty cooperation is fully valid on its own. There is no additional contract needed; a Memorandum of Understanding (MoU) is optional.
In contrast to faculty cooperation, a direct cooperation at KIT refers to a university-wide exchange of students between KIT and a partner university abroad. Direct cooperation is coordinated by the International Students Office at KIT. The academic supervision of students is provided within the faculties.
Partner universities abroad
The partner university abroad is the university that participates in the student exchange agreement.
Coordinator of the faculty cooperation at KIT
The faculty cooperation coordinator at KIT is the designated person at the faculty or institute who manages the cooperation with the partner university abroad. This person is responsible for contract negotiations and for all coordination tasks that arise after the Student Exchange Agreement has been signed. This includes all coordination with the partner university, such as the number of students to be exchanged in the upcoming year, the admission requirements students must meet (academic, language-related, etc.), the announcement and promotion of the program, the application and selection procedures, the nomination of students, as well as their advising and ongoing support.
Memo template
The filled-out memo template should be submitted to HAA during the review of the SEA draft to ease HAA’s assessment of the cooperation. The completed memo template is also required for the signing of the SEA by the Presidium.
Contract coordinator IStO (INTL) at KIT
The contract coordinator IStO (INTL) acts as the contact point for any questions regarding the conclusion Student Exchange Agreement (SEA).
