Application process

Application documents

Certificate of enrollment (valid for the entire duration of the course)

Current KIT Transcript of Records with at least 60 ECTS (Bachelor's level, Master's students can apply without a minimum ECTS requirement)

Letter of motivation (approx. 200 words)

Proof of language proficiency (EPICUR courses are usually taught in English and require English language skills of at least B2 level)

Notes on the required proof of language proficiency
For the majority of courses, it is sufficient to tick the relevant box as a self-declaration on the application form. This is NOT the case for SDU and UvA courses.
The following documents are accepted for courses at these universities:
  • EPICURs Language Requirement Form (must be completed and signed by the home university)
  • TOEFL iBT or iBTHome Edition with min. 88 points (max. 2 years old)
  • IELTS academic test with min. 6.5 points (max. 2 years old)
  • C1 Advanced (CAE) with min. 180 points or C2
If no other proof is available, the EPICUR language requirement form can be sent pre-filled to epicur∂intl.kit.edu for signature. The document will only be signed after proof of participation in a KIT English language course at minimum B2 level. If this cannot be proven, it is possible to register for a test at the KIT Language Center. This requires at least 2 weeks' notice. EPICUR Inclusion Scholarship

The EPICUR Inclusion Scholarship is designed to support the mobility of underrepresented students in particular.

Legal Basis

The scholarship is based on the Richtlinie für die Vergabe von Qualifizierungs-, Forschungs- und Mobilitätsstipendien am Karlsruher Institut für Technologie (KIT) (guidelines for awarding qualification, research, and mobility scholarships at Karlsruhe Institute of Technology (KIT), Official Announcement No. 51 of September 23, 2020). Unless other provisions are given below, these guidelines will apply. In addition, the EPICUR Inclusion Scholarship Regulations are valid.

Funding Model

The EPICUR Inclusion Scholarship funds stays of KIT students at an EPICUR partner university.

Funding is provided subject to the following conditions:

The funds granted are understood to cover traveling, accommodation, and living expenses associated with a stay of up to 30 days for studies at an EPICUR partner university.

The scholarship amount is in line with the rates granted to students by the German Academic Exchange Service (DAAD). The costs will be covered according to the Baden-Württemberg State Travel Expenses Act (Landesreisekostengesetz). In case the lump sum paid exceeds the travel expenses, the excess payment may have to be returned.

Expenses

The following expenses will be covered:

  • Outward and return trip
  • Accommodation expenses and additional subsistence costs at the destination

These expenses will not be covered:

  • Visa, tuition, and other fees
  • Insurance contracts of any types
  • Transfers and other trips at the destination
  • Rental car
  • Conference fees; conference fees must be entered in the travel request (also possible after the return). As a rule, the funding amount will be reduced accordingly afterwards.
     

Actually incurred travel expenses will be reimbursed only. The subsistence allowance amounts to EUR 24 per day.

Target Group

All KIT students attending an EPICUR Mobility program with at least one in-person component may apply for the EPICUR Inclusion Scholarship. Funding will be granted for attending mobility programs of not more than 30 days’ duration at the EPICUR partner universities.

 

The following requirements must be fulfilled:

  • Proper enrollment at KIT
  • Students must have been admitted to the mobility program already

The following groups of students were identified to be highly disadvantaged by DAAD and will therefore be given priority when awarding the scholarship:

  • Students with a degree of disability of 20 or higher
  • Students with a chronic illness
  • Students taking their child or children along for the stay abroad
  • Students with parents holding no academic degrees
  • Working students* (see footnote)

 

Students belonging to none of the groups above may also be eligible for funding, provided that the budget remaining after funding of the students above is sufficient.

 

Any double funding under the e.g. Erasmus program shall be excluded.

 

*Employed or self-employed – with an average net salary ranging from EUR 450 to below EUR 850 per month – for a continuous period of at least six months during both semesters preceding the stay abroad.

Funding Period

Mobility programs covering in-person stays abroad of up to 30 days at the maximum will be funded. Such programs may be part of a block seminar, a seasonal school, or a blended learning course.

Obligations to Cooperate

After the stay, students are obliged to send an experience report of about one page by mail to epicur does-not-exist.intl kit edu.

Application Procedure
  1. Eligible students may apply for the scholarship by mail from their KIT mail address to epicur∂intl.kit.edu from September 29, 2025 to October 05, 2025
    The following application documents must be attached in a single PDF file: 
    • motivation letter
    • self-declaration (Template available here)
  2. The selection committee consisting of
    • the INTL EPICUR Mobility Officer
    • a representative of the EPICUR students board
    • a department representative
    will evaluate the applications and make the selection. Scholarship agreements and rejection letters will be sent by ordinary mail until October 17, 2025
     

Having completed the Mobility program, the account of expenses must be sent together with all proofs to epicur∂intl.kit.edu in a single PDF file. An experience report of one page must be enclosed.  

Handling of Personal Data

KIT will report on the awarding of the scholarships to prove the use of funds provided by third parties according to their guidelines. 

For each scholarship, KIT will forward a control notification to the competent tax office about the corresponding payment in accordance with the “Verordnung über Mitteilungen an die Finanzbehörden durch andere Behörden und öffentlich-rechtliche Rundfunkanstalten" (ordinance on notifications to the tax authorities by other authorities and public broadcasting stations), as amended. 

It must be ensured that the persons concerned are adequately informed about the processing of their personal data for scholarship administration purposes. If in doubt, the Data Protection Staff Unit should be consulted. The same applies to compliance with the Data Protection Regulations when personal data are transferred to third-party funding bodies.
